Merch Booth

Per-show counts, inventory, signs, heatmap

Merch Booth is the seller's workspace: per-show counts, inventory, signage, sales heatmap.

HOME is the booth's dashboard. A greeting, then four tiles: shows counted (and how many are still ahead), units sold, gross and artist net, each with a trend line over the last shows and the change of the last 5 shows against the 5 before. Gross and net read every night the same way (counted figures when items were counted, else the settlement paperwork), in US dollars, so net can never read above gross; artist net only counts nights that have been settled. Then the next show with its venue photo, weather and pre-show insights (which sizes carry the tour's best seller, what this city did last time, anything running low, the tour's top earner), upcoming shows down the side, quick actions, and three cards: inventory by category (units on hand, or units sold when no stock has been entered), needs attention, and tour performance (a map and the top five cities by $ per head, units or revenue). Per head is the median of each night's own figure over nights with a door count.

THE BOOTH CALENDAR has its own page, Merch > Calendar in the left menu (on a phone, Upcoming shows > View all on Home). It is the same calendar Tour and Money use, in a merch lens: month, week, day and list views, each show day carrying what the booth took that night, where the night stands (count open, counted, settled, and whether that settlement was signed in person or read off a document), and the night's per head where a door count exists. Days that are not shows stay quiet, because there is no booth on a day off. Tap a day to open its count.

NO MERCH THIS DAY: a show with no merch table (a festival with no booth, a support slot, the seller off) can be marked "No merch this day" on its Count screen, its day card in the booth calendar, or the Booth line on the day page. Merch then stops asking to count it: it reads "No merch" on the calendars and is left out of Home's next show and upcoming shows, Tonight and the stock cover. The show itself is unchanged everywhere else, and Selling merch after all undoes it. Merch edit only (TM, merch seller, tour accountant); anyone with Merch sees the day is off. A night that already has a count can't be marked.

PER-SHOW COUNT:

Start with In-Count (items at the booth before doors). Sell. End with Out-Count (items left after doors close). Difference + adjustments = sold tonight. Cash + card totals reconcile to the count.

ON A COMPUTER the count is a table: each product with its sizes underneath, Last close (the closing count from the last earlier night with a real shelf count in the same currency), the In, Adds, Out and Comps boxes, Sold with its money, and Expect (what this tour's size mix says the room should sell). Hide takes a size off the table tonight. Phones get the cards.

WHO CAN SEE AND CHANGE THE BOOTH. Merch follows the tour's permissions. The artist is the boss: an artist login opens the booth (catalogue, counts, stock) but sees merch money only when the TM or admin turns Money on for them. A group where every member owns the act (each one an Artist) works the same way, one Artist login per member. The band (hired players) has no Merch access. Management and the business manager see the booth and its money. Each night's settlement money (gross, venue cut, artist net, cash, signatures) is shown only to people who run the booth (Merch edit: the TM, merch seller, tour accountant) or who can see Money. The merch seller sees merch money only, never show settlements, crew pay or any other Money. Changing anything needs Merch edit. Band, crew, drivers, vendors, family and travel agents have no Merch access unless the TM grants it. Artist net counts after the merch seller's fee.

DAILY LIMITS ON THE AI HELPERS (per person, reset each day): Voice count 100, product photo auto-fill 60, signup sheet scan 30. The sheet scan only reads a photo taken or uploaded in ATOM, never a link from elsewhere. All three respect Settings > ATOM Intelligence: with it off, nothing goes to the AI and the booth says so. There is no count from a photo: sellers hang, drape or roll shirts, so a photo of the table can't count them.

COUNT ONE AT A TIME: the button above the grid opens the same count as a full screen with a big number pad, built for a phone at load-in or load-out. Pick In, Adds, Out or Comps, key in one product and size, and Next moves on (hidden sizes are skipped). The first key replaces a number that is already there. Back returns to the grid with everything kept; Save count on the last item is the same save.

VARIANCE (the shrinkage signal): when a night was sold live through the Register, "Close out" snapshots what the register expects each item's closing count to be. The Count screen then compares that expectation against what the physical count actually finds, and shows the gap plainly. Units short (or over) and the retail dollar value, worst items first. This only appears after a Register close-out; a hand-counted night with no register tally has nothing to compare against, so nothing shows.

INVENTORY:

Tour-wide stock. On hand = what you received, minus what sold. IMPORTANT: on-hand only works once someone enters what was received in Inventory. Importing sales reports tells ATOM what SOLD, never what was in the box. No merch document states your starting stock. Until received is entered, ATOM deliberately hides stock figures rather than showing a misleading zero.

Each product has its own page (open a Table row, then Open product page): tiles for price, on hand, expect at the next show, sold, sell-through and tour gross, then Sizes (share of sales per size), Tour history (night by night, in that night's currency) and Restocks. Search, a category filter and a status filter sit above every view. Three views, switchable any time: Table (the default) is one sortable table across the catalogue (click any column header). Price, on hand, Tonight (what the next show should sell, from this tour's own averages), sold this tour, sell-through %, a status pill (Critical/Restock soon/Strong/Healthy/Slow, or No stock when nothing has been entered; a banner explains and offers Enter stock). Click a row to open its per-size breakdown. Cards is the older, richer view with the glowing stock-ring gauge and drag-to-reorder. Tiles is the photo grid. On a phone, Table keeps only Product/On hand/Status in the row and moves price/sold/sell-through into the expanded detail.

COST AND PROFIT: optional. Each product can carry what one unit cost you; see the Merch cost and profit topic.

SIGNAGE:

Printable price-tag layouts for the booth. Pick an item, pick a price, pick a size: generates PDF.

HEATMAP:

Which cities sell what, so you can reorder for the back half of the tour. The heatmap runs off COUNTS, not settlements. A night with money but no item counts contributes nothing to it. Import the sales reports to light it up.

HOW IT REACHES MONEY:

The booth and Money keep SEPARATE settlement records for the same night. They are not one record.
