Air Planner (flight costs)

Plan a flight for the party: all-in prices with bags both ways, guitar fit per leg, status free bags, upgrade check, book it and put it in the budget.

Air Planner (Travel > Air Planner, also in Money > Budget & Logistics > Air) works out what it really costs to move this party and its gear from A to B, before and after you book.

THE LIST: every trip with its date, route, travelers, status (Planning, Comparing, Booked, Completed, Cancelled) and estimate. The estimate is the chosen flight's all-in price, or "from" the lowest one while you're still comparing. The total at the top right is what the trips put in the budget.

1. TRIP SETUP: where and when (round trip, one way or multi-city; airports in other countries switch on international bag fees), who is flying (pick people from the tour, or just type how many), and the gear: checked bags for the whole party, guitars (in the cabin or checked), oversize and overweight pieces. Load from previous trip copies the last trip's party and gear. Preferences: cabin, airline, stops.

2. COMPARE FLIGHTS: live Google Flights prices and your own quotes (travel agent, airline group desk, a fare you found) in one list, each priced ALL-IN: the fare for everyone + checked bags + extras. Sorted by that number, because a cheaper ticket with dearer bags is not cheaper. Bags are charged each direction (a round trip pays them twice) and per ticket (separate tickets each pay). Each traveler gets their own free bags: the better of the cabin's allowance and elite status; one status holder covers up to 8 companions on the same booking, except Southwest's new tiers from January 2027 (Silver 1 free bag, Gold 2, Platinum 3), where the free bags are the member's alone; A-List and A-List Preferred still cover companions on 2026 flights. Guitar fit is checked on every leg and the worst leg sets the warning (a regional jet on leg 2 is where guitars get gate-checked). Details shows each flight, the aircraft and the bag math. Upgrade check prices a better cabin (live search, or type the price) and tells you the real difference for the party after bag savings. Multi-city: pick one flight per leg. Airline credits on file show as cash you won't need, not as a cheaper flight. Only credits held by the people on the trip count, each one up to that person's own fare; tap the credit line on Review & Book to see whose credit it is, how much, and when it expires (amber when it runs out within 60 days or before the flight). Each credit shows its code (voucher, ticket or confirmation number) with a copy button for the airline's site; Copy all copies every person's line (name, airline, amount, code, expiry) to paste into a text or email.

3. REVIEW & BOOK: the chosen flight, total cost, confirmation number, and Use in budget (the chosen flight becomes the estimate in Projected Flights). Mark as booked puts it in the budget for good. The budget never picks the cheapest live fare on its own, because fares move every hour.

4. TRACKING: the booked trip: itinerary, cost, travelers with their free bags, gear, notes. When an Air Travel expense in Money carries the same confirmation number, it shows as Paid with the difference from the estimate. Live flight tracking is in Travel.

BUDGET: Projected Flights = booked trips + trips with Use in budget. Actual Flights = real Air Travel expenses only.

BAG FEES: Air Planner > Bag fees. Published airline fees (reviewed May 2026), per tour: change an airline's fees when it charges your tour differently and every admin and device uses them. Always check the airline before booking.

OLD CALCULATOR TRIPS open here with their numbers. Old per-person bag counts become party totals; a trip that was only being compared stays out of the budget until you choose a flight.

PDF: one page with every flight compared at its all-in price, the chosen one marked, for your business manager or artist manager.
