Agency Sync (WME dates)

Connecting the booking agency, reviewing the dates it adds, changes or drops, automation, and who sees holds and pending

Agency Sync brings the artist's dates from their booking agency into ATOM, and nothing reaches the tour until the TM says so (or switches a status to automatic). Tour Settings > Agency Sync.

CONNECTING (about 3 minutes): "Connect an agency" > pick the agency (WME today; CAA, UTA, Wasserman and Paradigm say Coming soon) > the email and password you use for that agency's client portal > pick the artist (or type the artist's account number if the agency does not list them) > "Show me the dates" shows how many it found by status, nothing is added yet > choose what happens to new dates > Connect. The login is stored encrypted, used only to read that artist's dates, never shown again, and deleted the moment you press Disconnect.

WHAT HAPPENS TO NEW DATES, per status: "I review each one" (lands in To review), "Add automatically" (goes straight on the tour) or "Ignore". Defaults: confirmed, hold and pending wait for review; released is ignored. A status the agency uses that ATOM has never seen is never guessed: it waits under "Needs your eye", kept away from crew.

TO REVIEW: ATOM checks the agency every 30 minutes. Dates show as Found when you connected, New, Changed (what moved, e.g. Status: pending to confirmed) or Dropped by the agency. Tick them, then "Add to the tour", "Ignore", or for dropped dates "Remove from the tour". A date you already entered by hand is matched (same day and city), not duplicated, and its money stays. Dropped dates are never removed automatically, and a show with a guarantee, deposit or settlement asks again before it goes.

CALENDAR FEEDS LAND HERE TOO: dates from a calendar feed (Tour Settings, Schedule feeds: an iCal or webcal link, a JSON link or a webhook) wait in the same To review list, marked "From calendar feed" with the feed's name. They are added, ignored or removed the same way.

ONE TOUR = ONE YEAR: a 2026 tour only takes 2026 dates. Dates in 2027 go in the 2027 tour: open it and connect the agency there too.

WHO SEES HOLDS AND PENDING: only the TM, production manager, org admin, management, business manager and tour accountant, everywhere: calendar, day pages, day sheets, phone calendar links, the assistant and notifications. Crew and drivers see confirmed shows only. The TM can switch it to "Everyone on the tour" in Tour Settings, under Who sees what.

WEEKLY SCHEDULE EMAIL: off until a TM switches it On (Tour Settings, under Messages). Mondays, everyone on the tour gets the next two weeks: crew and drivers confirmed shows only, senior roles with holds and pending marked. Never sent twice in one week. "Who would get it" shows the count by role and sends nothing.

WHEN IT STOPS: if the agency stops accepting the login (a changed password), ATOM stops trying (so the agency does not lock the account), shows a red note on the page and tells the TM. Disconnect and connect again with the current password.

WHO CAN DO WHAT: opening the page: senior roles above. Connecting, approving and changing settings: TM, PM or org admin. Crew and drivers: ask your TM.
