Plan a budget (and tours with no budget)

The six Plan a budget steps, and what Budget & Logistics shows before a budget is entered

PLAN A BUDGET: a tour with no budget shows a Plan a budget button (Budget & Logistics > Overview and the Budget tab). It opens six steps on their own page (/money/budget?view=plan, a full screen on a phone): 1 Start from what is already booked, copy another of your tours' budgets (its typed lines and percentages; this tour's booked numbers still fill the booked lines; per diem people are not copied), or bring in a spreadsheet; 2 Income: show guarantees (Use booked or My own number), merch only if you tap Add merch (an amount per show), production reimbursements, sponsorship; 3 Costs: bus, flights and crew wages from what is booked (or your own number), then hotels, catering, trucking, production, backline, rehearsal, insurance, hospitality and misc; 4 Per diem: the same Include per diem question as the budget; 5 Percentages: commissions and withholding as a percent of income, contingency as a percent of costs; 6 Review: income, costs and net, every planned line with where it comes from. Save budget turns on Projected and variance (even when every line kept the booked number). Answers save as you go; Cancel puts the budget back the way it was when the steps opened. Tap any step at the top to jump to it.

NO BUDGET ENTERED YET: until someone types a budget for the tour (an amount, a per-show figure, a percent, a fixed dollar amount, line items, or their own number over a live one; switching lines on or off doesn't count), ATOM doesn't invent a plan to measure you against. View shows what happened instead: the top cards are Actual net, Income so far, Spent so far, Shows settled and Margin so far; the first column is Booked (what the schedule and planners already hold: show guarantees, the bus deal, the Air planner, roster pay; a dash where nothing is booked); there is no Variance column; and Biggest costs ranks by what was actually spent. Overview leads with Actual net and Spent so far, Booked income and Income so far, and Where the money went (each cost line's spend and share of the total) in place of Budget vs. actual. The PDF and Excel downloads say No budget entered the same way. Type any number in Edit and the full Projected / Actual / Variance budget comes back. Why a tracking-only tour used to show a red Net variance: Projected counted every booked show's guarantee while Actual counts settled shows only.

SCOPE: Whole tour (every leg, not the calendar year), one Leg, or Custom dates.
