Expenses (Money > Expenses) has four tabs across the top, and + Add Expense is on every one (on a phone it's the round + button).
LEDGER: every expense in a compact table, grouped by month. Tap the missing count in receipt coverage to show only those. Months start closed: one line each with its total and a bar split by category. Tap one to open it, or Open all. Filters and column names stay at the top while you scroll. A row missing its receipt has a thin pink edge on the left.
HOW MUCH DID WE SPEND ON X? Pick it in the filters (a category like Lodging, a person, cash, a source) and a total card answers it right away: the amount, how many, the average, its share of all spend, card vs cash, receipts missing, and a month-by-month strip (tap a month to jump to it). In the time filter, All of 2026 gives the whole year. So "how much on hotels this year?" is Lodging + All of 2026. Columns: date, description, category, who it was for, paid with, receipt, source, amount (foreign amounts show USD underneath). Filter by category, receipt status, person, month or source; search covers descriptions, people and card names. Tick rows to act on several at once: set the category, paid with or person, mark the receipt not required, or delete (30 seconds to undo). Click a row to open it. Clicking a date in the itinerary rail shows just that day's expenses.
ADDING ONE: DROP OR PICK RECEIPTS: ATOM reads them and shows a Check before saving screen. Fix anything, untick one to skip it, then Save; nothing saves before that. One matching a card charge attaches to it (or Add as a new expense instead); one already on the books is not added twice. The message after saving says which date it was filed under. Quick Capture: snap the receipt and ATOM reads it and fills the form right away: date, amount, vendor, category, and cash or card. The date is the day it was PAID, never the flight or check-in day (a hotel folio: its payment line) (the card ending on the receipt picks that tour card). A Filled from the receipt card shows what was read next to the photo, with Retake; check it against the photo, then Save. Nothing saves on its own. The tour's most-used cards are one-tap buttons above the Card box. When the photo shows one receipt on a darker surface, ATOM straightens it and crops off the table, like a scanner app; if it can't tell where the receipt is, it keeps your photo exactly as taken. Crop look wrong? Tap Use original photo. If you picked a date, show or payment yourself before snapping, the receipt leaves those alone (the card says so, with Use the receipt's to take them anyway). Before saving, if the form and the receipt disagree (date, total, cash vs card, or a card that isn't one of the tour's), ATOM stops and shows both: Use the receipt's values or Save anyway. Manual Entry has every field, including notes, a purchase date for things bought ahead, and bill back. Save + Add Another keeps the currency, category, show, people and card for the next one. Paid with is Cash, Card or Other (Venmo, wire, check).
REFUNDS / CREDITS: money back on something already paid (a hotel refund, a cancelled flight credit). In Add Expense, switch Expense to Refund / credit and type the amount as a normal positive number. It saves as its own line with a minus amount (green, tagged Refund) and comes off every total: Money Home, the Budget and every report. A refund never needs a receipt. Filter the Ledger to Refunds / credits to see them all. Changed your mind? Open it and switch back to Expense.
SPLIT PAYMENTS: one bill paid more than one way (the hotel on the card, incidentals in cash). Under Paid with, tap Split between payment methods, give each part its paid-with and amount, and save when the parts add up to the total. Each part saves as its own line, tagged Split and sharing the receipt, so cash counts in Cash and card in the card report. Editing a part changes that part only.
RECEIPTS: every expense is one of three: Attached, Not required (per diem, tips under $500, or you marked it), or Missing (go get it). Coverage = attached plus not required, the same number everywhere in Money. Dropping the same receipt file again (same file name, date and amount as one already on the books) adds nothing: the import says it's already on the books. The Receipts tab lists what's missing, largest first, with the receipt itself on the right: attach one, mark it not required, or drop a pile of receipts and each is matched to its card charge.
SEEING A RECEIPT: wherever an expense shows Attached · View (the Ledger, Cards and Receipts tabs), tap it to open the receipt itself; no need to open the expense first.
NAMING BY FILE: to keep the name you gave a receipt file as the expense's name, tick Name each expense after its file on the Receipts tab, drop onto the use the file names half when dragging receipts onto the page, or tap Use file name under the description in Add Expense. The name is used exactly as you typed it, minus the .jpg or .pdf ("09-24 Wegmans Catering $84.32.jpg" becomes "09-24 Wegmans Catering $84.32"). A name the phone or camera made up (IMG_4821, a screenshot) isn't used; the receipt's vendor is. ATOM tidies the name (drops the extension, dates, amounts and camera numbers like IMG_4821); amount and date are still read from the receipt.
CARDS: every card charge, which ones still need a receipt, and possible duplicates: a card charge that looks like an expense someone already typed in by hand (same amount, within a week, similar name). Match keeps the card charge (the bank's version), carries over the other one's receipt, people, show and notes, and removes the other. You can undo it. Import a card statement from here. The import reads the statement's own signs and sorts each line: Charge, Refund / credit (comes in as a refund line), or Card payment (paying the card off, like "PAYMENT - THANK YOU"; left out, since it isn't an expense). Change any line's Type in the review before importing.
REVIEW: clean-up (missing receipts, duplicates, expenses filed under Other, name spellings, expenses with no date), exports (Excel, receipt book, today's summary, card reconciliation, credit card report), the tour health cards, and deleting a leg's expenses.
SOURCE: each expense shows where it came from: Manual, Receipt scan, CC import, Gmail, Per Diem, Buyout, Cash request, Travel, Flights, YO ATOM and so on. Older expenses from before this was recorded show a dash.
SCANNING GMAIL: see the Gmail receipt scan topic.
GMAIL RECEIPTS FOUND OVERNIGHT: the nightly scan keeps one list per Gmail inbox, so it shows on every artist's Money. In the review window, File under picks which artist the receipts go to (it starts on the artist you're looking at). Filing under a different artist skips the show link and the duplicate check, since those only know this screen's artist.
WHERE EXPENSES END UP: Money Home spent, the Budget's actuals, Cash (cash ones), the CC report (card ones), and every report. Foreign currencies convert to USD at the current rate; the original amount stays on the record.
Buyouts moved: they live on Money > Cash > Buyouts (the Buyouts button on the Cash tab). Export and delete tools need the matching permission; if they're missing, ask your TM.
WHICH LEG AN EXPENSE IS IN: picking a leg in Money shows what's dated inside it. Something dated before a leg starts or between legs (a flight to the first show, merch ordered the week before) shows under the leg it leads into, and anything after the last leg shows under the last leg, so nothing disappears between legs. All legs always shows everything.
