Gmail receipt scan

How the Gmail receipt scan picks what to show, and what Skip, Import all and the duplicate question do

Gmail receipt scan (Money > Settings > Integrations > Scan Inbox for Documents, plus the morning "receipts found overnight" list) reads your connected Gmail for receipts on the tour's own cards.

WHAT IT LOOKS FOR: emails from airlines, hotels, ride shares, rentals and other known vendors, plus any email with an attachment called a receipt, invoice, folio or statement, and only when the email shows one of the tour's cards (Money > Settings > Cards & team > Tour cards). Show settlements, deal memos, merch reports and atVenu emails are not receipts and are not searched for; they belong in Settlements and Merch.

NOT RECEIPTS: if something still gets through and ATOM reads it as a settlement, deal memo, merch report, contract or wire confirmation, it goes in a folded not receipts group at the bottom with Skip all. You can still open one and Import anyway.

SKIP: a skipped email stays skipped on every device you use, so it doesn't come back next scan. Undo on the row brings it back. Imported emails never show again either.

SAME AMOUNT AS ONE ALREADY THERE: ATOM asks instead of guessing. Hotels send one email per room, so two rooms at the same rate look alike: Save anyway for another room or charge, Skip for the same receipt twice.

IMPORT ALL READY: imports only the rows that are fully read, look like receipts and have no open question. Anything else stays on the list.

ON A PHONE: the review is its own full page, not a pop-up; the morning notification opens it. The morning list keeps everything you haven't imported or skipped yet.

WHO CAN USE IT: importing saves expenses, so it needs Money edit on this tour (ask your TM if Import fails). A firm login has no tour cards of its own; scanning lives on the artist's tour.

TOUR MAIL ONLY: the scan (and the overnight sweep) never looks in Gmail's Promotions or Social tabs, and leaves out surveys and "hope you enjoyed your stay" mail, promos, digests, account and password notices, trading or crypto confirmations, and bills from your own business tools (Anthropic, Netlify, GitHub and the like). It still needs the tour card on the receipt.

HOTEL FOLIOS GO TO THE NIGHT OF THE STAY: a hotel charges at checkout, often on the next city's show day. When the hotel's name carries the city of a show from the charge day back three days (DoubleTree Fresno charged on the San Francisco day), the receipt links to that show, the night you stayed. The expense keeps the day you were charged as its date. A hotel whose name names no show city links the way every receipt does: the show on the day it was charged. You can always change the show before importing.
