Hotel tab

Hotel tab, Hotel Console, rooming list, confirmations, shared rooms, rooming import

The Hotel tab (on any day page) and the Hotel Console (editing one hotel). On the Hotel tab, each hotel on the day gets a compact, flat page built to read in a few seconds: a header (a photo of the hotel from Google when one exists, with the photographer credited; hotel name, full address, stay dates and nights, then one line with the room count, the drive to the venue and early check-in, and Directions, Call, Uber and Snapshot buttons), then one sheet. At the top of the sheet a calm status line says either Hotel ready or Worth a look with what is missing: no bus parking, or no confirmation number. Nothing on it is shown as an alarm. CC authorization and room numbers are never flagged, since many tours don't use them; CC auth just reads Filed or Not filed in Tour logistics. Past days show no status line. Under that come the hotel's Notes exactly as typed in the Hotel Console (for example construction hours), also on the hotel snapshot. Below them, Stay details (including Reserved under, Staying here, and for people who can edit the hotel, Cancel by) and Tour logistics sit side by side as a simple list (Address with Map, Phone with Call, Website with Open, check-in and check-out times, confirmation number with Copy, room type, who provided the room; bus parking with a Details toggle for parking instructions and maps, distance to venue, CC auth, early check-in; the text itself is selectable). Then the hotel's Amenities on one line (only what it has, plus No laundry when it has none; nothing on the Hotel tab is shown in red), Hotel contacts (sales rep, group desk: Call, Text, Email), and the Rooming list as a table: guest, role, room number (a dash until someone enters one; room numbers are optional and never flagged), plus each room's confirmation number when the stay has several. Its header counts rooms, and how many have room numbers once any do. On a phone the two lists stack and the role sits next to the name. The rooming list shows only who is sleeping there THAT night. In the Hotel Console each confirmation carries its own number, its people and its own In / Out dates, and everyone tagged on it follows those dates (for example one confirmation for the three people who check out on show day). A guest's own Dates button overrides that for one person (useful when the whole block is on one number but someone still leaves early). Leave both alone and everyone follows the hotel's dates. Each confirmation can also carry its own room type (for example the artist's confirmation is a Corner King, the driver's a King, the crew's Double Queens); guests show their room type on the Hotel tab and the rooming PDFs, and a confirmation with no type uses the hotel's room type. The hotel always covers its people: if a confirmation or a person checks in earlier or out later than the hotel's own dates, saving stretches the hotel's stay to cover them, so it appears on those nights, and everyone else keeps their original nights. Everything is editable in place: click a name or role to change it (their confirmation follows a rename), set room numbers, add someone straight onto a confirmation, and removing a person just untags them, the confirmation stays. Sharing a room: tap Share room on a person in the rooming list and pick who they share with; both go on one confirmation (one number, two names) marked as one room, and typing a room number fills it in for both. On a confirmation that already has several people, tick One room, shared to say they are in one room (leave it off for a block of rooms on one number). Roommates show as one row with one room number on the Hotel tab, the snapshot and both rooming PDFs. Separate rooms undoes it and keeps the confirmation. Adding and removing hotels: both live on the Hotel tab, one way each. + Add another hotel sits under the hotels for anyone who can edit the day (no Edit mode needed). To take a hotel off, use that hotel's Remove button: it always asks Not staying here (just this night: moves the check-in or check-out, or splits the stay in two when it is a middle night), Delete hotel (every night), or Cancel, and shows Undo for 10 seconds. The Hotel Console has no delete. Finding the hotel: the Hotel Console's hotel search lists every matching hotel with its full street address (number and street), so two look-alike hotels on the same road (for example two Best Westerns on Cerrillos Road in Santa Fe) can be told apart; check the street number against the booking before picking. Importing a rooming list (Import rooming list in the Hotel Console: PDF, Word, Excel, CSV or pasted text) shows one line per room, as on the hotel's list: the guests, room type, confirmation number and room number, each editable. Two names on one line become one shared room on one confirmation. The list's own line numbers (1, 2, 3...) are never taken as room numbers, since hotels give those out at check-in; a PENDING confirmation is left blank. Each person shows whether they matched someone on the tour or in contacts (Change picks someone else, Skip leaves them out). A role only comes from the tour roster, never from a contact's job title. A one-word name in contacts (just "Mark") only matches a guest listed by that one word, and a contact also matches on its own first and last name fields. People already on the hotel's list are updated with the list's room type and confirmation instead of being added twice; tick Replace the current list to swap the whole list for a re-sent one. In the rooming list's search, anyone already on the list drops out of the suggestions. On the day someone's own stay ends they move to a "Checking out today" line instead of the list, and the rooming PDFs print their dates. Edit buttons on each card open the Hotel Console for that hotel on its own screen (its own web address, and the browser Back button returns you to the day), with its sections side by side, Property, The stay & the deal, and Guests & rooming plus Ground & access, three columns on a big screen, two on a laptop, one on a phone, so you can see the whole hotel at once while you edit it. Missing address, phone or website reads "Not on file" so you know to advance it. Reserved under and Confirmations are set in the Hotel Console (a shared room is one confirmation number with two names). The rooming list prints as a Tour PDF (crew-facing, shows roles and hotel contacts) or a Front Desk PDF (reservation summary, confirmations, guest names, no roles). To send the list to the hotel, people who can edit travel use Send to hotel (its own topic), which carries the Front Desk PDF plus group details and an email. Import Rooming List builds the list for you from a PDF, Word doc, Excel/CSV or pasted text, matches guests to your crew and contacts, and you review before anything saves. Snapshot on each hotel's hero makes a one-screen shareable image of that hotel (on a multi-hotel day, just that one, so the driver's hotel and the artist's hotel can go to different people). Hotel contacts carry forward the next time this same tour books the same property, but are NOT shared with other tours through ATOM Intel. They also print on the Tour PDF; the Front Desk PDF only names who the group was booked with. Hotel loyalty numbers are NOT shown on the Hotel tab; they live on each person's contact card. Who is staying, on the Overview: each hotel cube on the day's Overview names the people on its rooming list sleeping there that night, by first name ("Mark", "David"). Up to three names show; more reads as the first two and a count ("Sam, Kyle +4"), and hovering shows everyone. Two people with the same first name get a last initial. A hotel with no rooming list shows what was typed in Staying here. See Who can see a hotel for limiting a hotel to the people staying in it.
