Immigration (Tour Book > Immigration, or Travel > Tools > Immigration) is where international paperwork gets done in one place.
PASSPORT SCANS ARE KEPT:
Every person can have one color scan of their passport stored in ATOM, any size up to 50MB, PDF or photo. It never expires and can be viewed or downloaded any time. View opens the scan on its own screen inside ATOM (not a new browser window), with Download and Back. Zoom in to read the small print: pinch with two fingers, double-tap a spot, use Ctrl or Cmd plus scroll (or a trackpad pinch) on a computer, or the - / + buttons in the corner; tap the percentage to fit the whole page again. A renewal replaces it everywhere at once; the previous scan is kept in case of a mistake.
Where to add one: a tour manager opens the person's card, Passport tab, and uses Upload scan (or drops the passport on the scan box, which also reads the number, dates, place of birth, issuing country and sex into the fields). Anyone can add their own on Me, in the Passport box.
Who can see a scan: the person themselves, and the tour managers and tour accountants of a tour that person is on. Crew and band cannot open anyone else's. Every view is logged.
UNLOCK BEFORE A SCAN OPENS:
Opening a scan, downloading one, or making a passport pack first asks you to unlock with whatever this device uses: Face ID, a fingerprint (Touch ID or Windows Hello), or the device's passcode or login password. No camera is needed. One check covers five minutes, so opening several scans in a row only asks once; closing or reloading ATOM asks again. The first time, your device offers to save a passkey for ATOM: that passkey is the lock. The scans themselves stay in ATOM's private storage so the whole tour team can use them; Face ID guards who can open them on this device. The ATOM phone app doesn't ask yet (it needs an app store update), and older browsers that can't do this open scans as before.
THE IMMIGRATION PAGE:
Pick the country (the ones on your routing are listed first), tick who is travelling (everyone is ticked to start), and mark who is on stage. Each person shows whether their scan is on file, when they fly in and out of that country from the flights already in ATOM, and anything that country's paperwork still needs (for example Place of birth for Ireland and France, UK ETA for the UK, or a passport that expires too soon). Tap what is missing to open their card.
Download passport pack makes one zip for the promoter or agent: a workbook with every traveller's passport details, arrival and departure flights, the shows and the hotels in that country, plus every stored scan named like "Artist Name Passport.pdf".
Fill a promoter's form: pick the blank spreadsheet the promoter or agent sent (the WME UK Entry Request Form, the MCD Ireland listing, the Live Nation France listing, a Canada land manifest, any similar sheet). ATOM reads the column headings, fills one row per traveller, fills the lead contact, itinerary and hotel tabs if the form has them, adds rows if there are more people than lines, and hands back THEIR form with their layout, notes and declaration untouched. Performers go under an artist section and crew under a staff section when the form has both. Anything ATOM does not hold, like how many times someone entered the UK this year, is left blank to fill in by hand. Show fees (the Earnings column, and fee cells on a promoter's form) are filled only for people with Money access on the tour; for anyone else they are left out, and the TM fills them in.
If someone cannot open this page, that is their role on the tour, not a broken screen: it holds everyone's passport details, so it is for tour managers and tour accountants. Crew add their own scan on Me and ask their TM for the pack. On a management firm account there is no tour roster here; this lives on the artist's tour login.
