Cash payouts (tip-outs)

Paying a crew in cash: the four steps, the optional BM request, Send to budget and Take off budget

Cash payouts (Money > Cash Payouts, called Cash Requests until October 2026) work out a cash tip-out for a crew and track it. Use it whether you already have the cash on hand or need to ask your business manager for it first.

THE SCREEN: the four steps on the left; on the right the Cash payout summary (total cash needed, per person, recipients, nights, payout type, rate, set length, payout date, and what's still needed before it can go), with Request cash, Send to budget and Save for later; then Bills to pull (each envelope's bills, signatures, print sign sheet) and Payout status (Draft, Requested, Funded, Paid, Recorded). Previous cash payouts below: it follows the leg picked at the top of Money (a payout belongs to the leg its payout date falls in; it says how many more are on other legs), search, filter by status, and Edit, Duplicate (a new copy to check before you save or send it), Take off budget or delete. On a phone it's one column, the summary after the steps.

THE FOUR STEPS: what it's for (a name); how much each person gets (Per minute = rate x set length, or a Flat fee); which nights they worked (one date or a From/To range; with no dates it counts as 1 night, and says so); who's getting paid (a group name and headcount, or people from ATOM Contacts). Pick from the tour opens a calendar of the tour (show days carry the city): tap each night they worked. Templates (step 1): Save as template keeps the pay style, rate, set length and groups under a name; tap a template to fill those in. Nights and the payout date are always picked fresh. Payout date is the day the cash goes out: it starts on the last night worked (a Thursday to Saturday run pays out Saturday) and you can change it; the budget books the tip-out on that date. Pay styles: Flat fee (per person per night), Per minute (rate x set length), Hourly (rate x hours per night). Every group gets the step 2 pay unless you tap Own pay on it: its own flat fee, per minute, hourly, or Group total (one amount for the whole group for the whole run, split evenly; $100 for three people is $33.34, $33.33 and $33.33, the extra cent to the first person). The total is the sum of the groups; the summary lists each group's subtotal, and the sign sheet shows each person's own amount. The bills each envelope needs are suggested and can be changed; when groups are paid different amounts, Bills to pull lists each group's envelopes and says when the cents don't fit in bills (the total to pull is then a dollar or so under the total).

PAYOUT STATUS: Draft, Requested, Funded, Paid, Recorded. Requested and Funded are only for when you need the cash sent to you; with the cash already on hand you go straight to Paid and Recorded. Requested: you emailed your BM, or tapped Mark as requested because you asked by text or a call. Nothing moves on the budget. Funded: tap Log cash received for each amount that comes in (partly funded until it adds up to the total). Cash in hand adds a cash-in row to Road Cash (the Cash tab); Sent to the bank doesn't, because bank money isn't road cash. Removing a cash received takes its Road Cash row off too. Paid: in step 4 tap Mark paid on each group when it has its cash, and set the day if it wasn't the payout date; some groups paid and some not reads Partly paid. Recorded: Send to budget puts the paid groups on the budget, each on the day it was paid. If no group is marked paid yet, Send to budget marks everyone paid on the payout date. Mark another group paid later and tap Update: its budget line is added, never counted twice. While it's on the budget at least one group stays paid; take it off the budget to undo all of it. History on the status card lists every change, who made it and when; ATOM writes it, it can't be edited. The same changes show on Tour > Activity. Deleting a payout that has cash received on Road Cash asks whether that cash comes off too (you may still have it). No signal: saving a draft and signatures work offline; Send to budget, updating a posted payout, Take off budget, deleting a posted one and cash received in hand need signal, because each is several changes that must all land together. ATOM says so instead of doing half of it.

REQUEST CASH FROM THE BUSINESS MANAGER (optional): only when you need the cash sent to you. Saves the payout and emails the request to your BM. The saved request then shows Sent to with the address and date. Requesting cash doesn't put anything on the budget.

SEND TO BUDGET: puts the tip-out on Cash Flow and the budget as cash Tips expenses (one per group) and marks it On cash flow. A request is only ever posted once.

EDITING A POSTED REQUEST: change it and tap Update: if the money changed, its budget lines are swapped for the new amounts (never counted twice). Take off budget removes its expenses and puts it back to Draft; the request stays saved.

SAVE FOR LATER: keeps it under Previous cash payouts to finish later; Edit loads it back.

Sending and saving need Money edit on this tour; deleting needs admin. If something is missing, ask your TM.
