Two reports, two jobs. Cash and earnings are separate worlds in ATOM.
ROAD REPORT (cash only): Money > Reports, first card. Your monthly road report for the business manager, in the shape of a TM's own road report. Pick a month (or a quarter or custom dates), then Export Road Report (computer) or Save or share Road Report (phone app: Files, Mail, AirDrop). Preview shows it first. Shortcut: the Road report button on Money > Cash opens it on the month you're looking at.
- The file: four kinds of tab, each with links to the others along the top. Road Report is the whole period on one page: four tiles (Beginning cash, Cash received, Cash spent, Ending cash), the cash flow (Beginning cash + Cash picked up + Cash income from the road = Total cash available, minus Cash spent = Ending cash, with live formulas), the cash expense mix (a chart and each type's total and share) and per diem by run. Cash Report has the same tiles, a strip of what the cash went to by type, every cash in, and one cash-out ledger with filters (each row has its category, receipt link or note). Per Diem lists every run (dates, people, rate, paid, signatures, a link to the signed sheet) with a chart, and each run has its own PD tab with every person. A foreign-currency bag shows on its own line, never converted into dollars.
- Expense types: Meals, Transportation, Hospitality, Per Diem, Merch, Crew, Venue Expense, Misc. A crew tip-out paid through a per diem run counts as Crew, not per diem.
- Since your last report: every Road Report you export is remembered as it went out. The next one checks that its beginning cash equals that report's ending cash. If they match, the report says so. If not, the Preview and the Road Report tab list every cash row added, changed or removed after the last report was sent (and any dated between the two), so the difference is explained to the cent. The first report from ATOM starts the chain.
- Signatures are a checklist: a run where everyone signed shows a check; otherwise it shows how many signed, in gray. A missing signature is never shown as an error.
- Per diem by period: only per diem paid in cash. A person marked Paid by payroll on a per diem run is not road cash: they are left out of the Road Report, the Tour Accounting Workbook's per diem, and the run's Cash to pull.
- Cash only: no card spend, wires, checks or show pay. Card spend is on the Expense Report and the Tour Accounting Workbook's Credit Card sheet.
- Receipts: every cash expense on the Cash Report has an Open receipt link, and per diem runs link their signed sheet (PDF). Report links keep working for two years (the app's own receipt links last a week).
- Link to every receipt (ZIP) (on unless you untick it): ATOM gathers every receipt for those dates into one ZIP and the Road Report's Download every receipt for these dates (ZIP) link opens it, so your business manager or accountant gets the whole backup in one click. Inside: receipts filed by month, then category, named by your Receipt file names setting, plus INDEX.csv listing every expense with its amount to the cent, which sheet it backs up, and Missing where there is no receipt. It adds some seconds to the export (a progress count shows on the button). Download receipts (ZIP) saves the same ZIP to you. The Tour Accounting Workbook, Expense Report and Card Report carry the same link.
- Never in it: checks, wires and ACH (they go to the bank), show pay, merch income.
- On the Cash tab, + Cash In asks What is it? Cash picked up (bank or business manager), Merch cash handed to me, or Other cash in. That choice is what puts a row under Cash Picked Up or Cash Income from Road.
TOUR ACCOUNTING WORKBOOK (cash AND earnings, for the accountant): the second card. A Dashboard (tiles for show income, card spend, cash spent and ending cash; the cash flow, with a second currency beside the dollars when you pick one; show money; charts of show income by month and card spend by category; per diem runs; a link to every tab), then Income, Cash (the Road Report's Cash Report), Per Diem with a PD tab per run, Card, Merch and the Itinerary, for the dates you pick. Its merch sheet follows the tour's Count merch as income switch unless you tick the Merch box yourself.
- Show Income sheet: one row per settled show. Gross (before withholding) minus Deposit minus Tax W/H minus Less Exp equals what was paid, with Wire / ACH, Check to TM and Cash to TM columns. Only Cash to TM is road cash.
- Same cash as the Road Report: the Dashboard's cash flow and the Cash tab use the Road Report's own rows, so the two files always agree.
WHO CAN USE THEM: anyone who can open Money > Reports on this tour. If you can't, your role doesn't include Money; ask your TM. A management or agency firm account has no tour of its own; these live on the artist's login.
ON A PHONE: Reports has a Jump to button at the bottom right that lists every report card, so you never scroll the whole page. The Cash Ledger shows each month folded with In, Out and Net; tap a month for its rows (date, category, amount and the running balance). Money Settings folds every section to its title on a phone: tap one to open it, and it stays open next time. On Settlements, Upcoming Deposits shows every overdue deposit plus the next few, with Show all for the rest.
