Per Diem

Per diem runs: build one in 4 steps, collect signatures (QR or in person), post to cash flow

Per Diem pays rate x people x days, in cash, on the road. It lives in Money > Per Diem and works in runs.

WHAT A RUN IS: one cash sign sheet. It has a name you give it ("East Coast Run"), one or more date periods, the people on it, each person's total, their signatures, and a status. Prep as many runs ahead of time as you like (a 2-day run, a whole leg, the next leg) and close each one out when the cash goes out.

THE STATUSES: Draft (built, nobody has signed, still editable). Signing (at least one person has signed; what they signed for is locked, but anyone unsigned has Change days under their name on the Roster, which updates the phone link too). Posted (added to the cash flow waterfall as Per Diem expenses). Void (a mistake: set aside, struck through, still listed; "Restore" brings it back, and only a void run can be deleted for good).

ARCHIVE (keep it, don't post it): a scratch calculation or a run you don't need? It leaves your Open list, keeps everything (numbers, signatures), never goes to cash flow, and "Unarchive" puts it back exactly as it was. Archive from the run's page, or tick several on the Runs list. Posted runs can't be archived; they're already in cash flow, unpost first. Archived and void runs never show in a crew member's Your Corner.

THE THREE PAGES:

PERIODS ARE PICKED DAYS: a period is the exact days it pays, gaps allowed. On its calendar, Tap days puts a day in or takes it out; First to last fills every day between two taps; "Fill every day of a leg" and "Clear days" help. The people on a period are listed on its card (x takes someone off, "+ Add or remove people" adds). People whose days differ get their own period ("+ Add another period" starts empty). With several periods, a strip up top reads period 1 = these days, these people. A person on two periods is paid each day once.

WHAT PEOPLE SIGN FOR: each person's line shows their own days as spans ("Sep 24 to 26, Sep 30 to Oct 17") and their day count, never the run's first to last day: Review, the printed sheet, the QR sign page, the in-person pad, the accountant email and spreadsheet, Copy for email, their receipt email and their Your Corner.

NO DAY PAID TWICE: on the calendar, days another run already pays for anyone on this period are shaded gold and marked Paid (hover or tap to see which run). Each day is paid once per person even if two periods of the same run overlap. If the run would still pay days another run already pays, Review stops you before saving and you choose: Leave those days out (only the new days are paid; "Put them back" undoes it) or tick Pay them again anyway. Void, archived and Cash Requests runs never count.

SEND TO BUDGET: posts the run; it then reads "On budget" (click to undo). Its Per Diem expenses are dated the run's first day, the day the cash goes out (runs posted before 2026-09-25 keep their dates). A run can't be posted twice.

IN THE ACCOUNTANT WORKBOOK: Money > Reports, the Tour Accounting Workbook's per diem is your real runs: every signed or posted run that starts inside the report's dates, one PD tab per run with each person's dates, rate, days, total and whether they signed. Drafts aren't counted (they aren't paid yet); the Summary says how many were left out.

RATES: the run's daily rate applies to everyone, except anyone with their own per diem rate on their Pay tab, who gets theirs (the sign sheet and accountant email show each person's own rate). The builder says who. A new run starts with this tour's rate: the one you last used for this tour, else the newest run's rate. It never carries over from another artist.

CREW PAY OVERLAP: if Crew Pay already includes per diem for someone on a day this run also pays (a marked day, or a day inside a check's "per diem paid ahead" window), the Review step flags it. It never blocks, it just stops the same day being paid twice by accident.

NOT THE SAME AS CASH PAYOUTS: Cash Payouts is its own tab for tipping out crew who aren't yours (house video, lights, audio): a flat amount, dollars per minute of the set, or hourly, times the nights they worked. Posting one adds Tips cash expenses on its payout date. Per Diem is paying your own crew their daily rate and getting their signatures.

WHO CAN USE IT: if you can open Money but there is no Per Diem tab, your role on this tour doesn't include per diem. Ask your TM. A management or agency firm account has no tour of its own, so per diem isn't on that login at all; it lives on the artist's tour.

THE QR SIGN SHEET: open a run, then "Send to phone (QR)" opens a QR code. Each crew member scans it on their own phone and signs for their own line: no ATOM login needed, and none of the group needs an ATOM account for this to work. The link is time-limited (7 days) and works only for the exact run it was made for. Signatures come into the run by themselves as people sign, even if you close the QR window first. "Collect signatures in person" signs on your device: tap a name, sign, Done. Each signature saves right then (row reads Saved) and they get the receipt email.

EMAIL RECEIPT: the moment someone signs (QR or in person), ATOM emails them a copy (name, days, amount, signature) if their line has an email. No account needed; replies reach the TM. In person (a full screen: tap a name, they sign, Done), each signature saves the moment they finish (Saved; Not saved has a retry).

SIGNED WITH NO IMAGE: a roster row reading "Signed" with no signature image and an "Admin note" under the name was marked signed by an ATOM admin with the TM's OK (for example, a signature the app lost). The note says why; only the TM and admins see it, never crew. It counts as signed everywhere; the printed sheet reads "Signed".

PRIVACY: anyone with the QR link sees the sheet (names, days, amounts), like paper passed around. Emails are never shown there; they're only used to send each person their own receipt.
