RECEIPT REQUEST: your business manager sends a list of card charges they need receipts for (a PDF or a spreadsheet, like an Amex export with a Receipt or Notes column). Drop it on the Drop anything portal in Money > Import: ATOM spots that it is a receipt list, not a statement to import, and sends it to Receipt Request (you can also pick Receipt Request on the row). The page is Money > Import > Receipt Request.
WHAT ATOM CHECKS: every charge against your Money expenses (same amount to the cent, date within 4 days). Each line says: Receipt attached, Receipt attached (one folio) when the card split one hotel or airline bill into pieces that add up to one expense, No receipt needed, No receipt yet (in Money without a receipt), or Not in ATOM.
FIND THE RECEIPTS: Look in Dropbox checks your Dropbox receipts folder by file name (amount and date in the name, like Uber_Smith_2026-08-10_$17.99.pdf). Look in Gmail searches your Gmail for an email showing that exact amount around that date (card company alerts are left out). Each find shows on its line with a tick box; untick anything that is not the right receipt. Dropbox and Gmail are connected on the Import page.
SAVE TO MONEY: pick the card, keep Add the charges Money doesn't have ticked, and tap Save. Charges not in Money are added as card expenses (with the receipt when one was found); a found receipt for a charge already in Money is attached to it. Nothing is saved before you tap Save, and saving twice does not add a charge twice.
STILL MISSING? Tap Find it on any charge without a receipt: ATOM says where that kind of merchant keeps receipts (Amazon: Your Orders, then Invoice, often in a personal email; fuel stops usually send none) and gives a ready Gmail search with the exact amount. Search Gmail opens it (switch to another Gmail account from Gmail's account picker), Copy search puts it on your clipboard for any email, and Attach receipt adds a file you found anywhere else so it goes in with Save.
THE REPLY: Review the reply first shows exactly what your business manager gets: every line, the totals, and how many receipts are in the ZIP, with a warning if found receipts are not saved yet. Looks right. Download the reply then makes a spreadsheet that answers every charge (amount, what ATOM has, a link to each receipt, totals to the cent) with a link to a ZIP of all the receipts inside. At the top of that spreadsheet, Download all N receipts in one ZIP gets whoever opens it every receipt in one click, filed by month and category with an INDEX.csv. Save the N receipts (ZIP) next to it puts the same ZIP straight on your own computer (on the phone it opens the share sheet). Attach it to your reply; ATOM never sends email for you.
SAVE IT AND COME BACK: a request is a file. Save (or Cmd/Ctrl+S) names it and keeps it on the tour; Save as makes a copy; click the name to rename it; Files opens your saved requests in folders (make a folder per business manager, card or quarter, and drag a file onto it). Unsaved changes are kept on your device while you work, so a closed tab offers them back. Money Home shows any saved request that still has open lines.
WORK IT LIKE A SPREADSHEET: every line has an Answer and a Note. Pick Lost when there is no receipt (say what it was in the note, like "fuel slip lost") or Not needed for a fee that never has one (when you Save, Not needed also ticks Receipt not required on that expense, so the rest of Money stops asking for it); both count as answered and go in the reply with your note. A line with a receipt in ATOM shows View to open it right there. Drop a receipt file on its line to attach it (the message has Undo), or drop several on the grid and ATOM matches them by the amount and date in their names. Pick lines (Shift+click for a run) to Copy them into any spreadsheet or mark them all Lost or Not needed; paste a column of notes from a spreadsheet into the Note boxes; Undo and Redo step back and forward. The filter shows All, Open, Answered or Lost lines.
WHEN YOUR BUSINESS MANAGER ASKS IN ATOM: a Business Manager (or anyone who can see Expenses but not change them) can open Money > Files > Ask for receipts and drop the card list (Amex export, PDF or CSV). ATOM checks every charge against Money and saves the request under Files > Receipt Requests, marked Asked by them. Nothing in Money changes. The tour manager and admins get a note (bell and phone): who asked, how many charges, how many have no receipt yet; tap it to open the request. Money Home shows it under Receipt requests too.
ANSWERING AND SENDING IT BACK: work the lines as usual (attach, Look in Dropbox or Gmail, Lost or Not needed with a note). The person who asked sees how many are answered so far. When every line is answered, Review and send to them, then Send to them: ATOM builds the spreadsheet and the ZIP of every receipt, keeps them with the request, and they get a note. Their request shows Done with Download the spreadsheet and Download the receipts (ZIP). ATOM never emails it; it waits in their Files. Send again updates it after a change. Only the tour manager or an admin (Expenses edit) answers and sends; whoever asked can read but not change the lines.
