Settlements

Guarantees, deals, and artist share

Settlements are the real money from shows.

THE DESK: one strip on top: Needs settlement (played, not settled), Awaiting payment (still owed on settlements entered: show money, plus merch the venue owes only when Count merch as income is on), Settled, Total gross, Artist take. One line per show; tap to open it. A colored edge marks one that needs you. Under the strip, Catch up lists played shows with no settlement: tick them, then Settle or mark off the books. Then search (venue, city, date, promoter) and the status pills, each with its count: Needs a look (not settled, money still owed, or payment details blank; this is where the list opens when anything needs you), Awaiting payment, Needs payment details, Settled & paid, All. With the leg picker at the top of Money on All tours, settlements are grouped by leg, newest leg first, then by month. On All and Settled & paid the newest month is open and older months fold: tap a month to open it.

THE EDITOR is short and folded (see The settlement editor); backend deals show tickets to the points (see Tickets to the points).

A show has a guarantee. After the show, you settle based on the deal type:

Flat: artist gets the guarantee.
Vs. %: the greater of the guarantee or the artist's % of the box office.
Bonus: guarantee plus bonus tiers at attendance thresholds.
Door: artist gets a % of the door.

Gross Revenue - Adjustments - Expenses = Artist Share

CO-HEADLINE SHOWS:

Tick Co-headline on the settlement and set the split (usually 50). Enter the COMBINED venue numbers (gross, net, expenses) as the venue sheet shows them. For Artist %, either number works: over 50% (like 85%) is read as the pool for both artists and multiplied by the split; 50% or less (like 42.5%) is read as your artist's own slice. The guarantee is never split: it is your artist's own. On a vs deal the higher of the two is what you walk with. Example: 85% of a $12,459.77 net x 50% = $5,295.40, so a $10,000 guarantee pays $10,000. If the venue sheet's "artist" line is bigger than your check on a co-headline, it is usually the combined figure for both acts. Dropping the venue sheet on a co-headline keeps your artist's own guarantee when the sheet only shows the combined offer, and the sheet's expense and ticket rows replace what was there (Undo puts them back).

HOW THE VENUE PAYS: each settlement has a Venue pays by choice: Wire, Check, Mailed check, Cash, ACH or Other. If the advance already answered "What is the settlement type?", a new settlement starts from that answer (it says "from the advance"); change it any time. A mailed check counts as a check (Check to TM on the road report) and never as road cash; record the amount under Check when it arrives.

SHEETS FROM PRISM.FM: a settlement made in Prism (the venue's booking software; it says "Click to import settlement into Prism" at the bottom) is read by its exact layout, with no AI: the guarantee or walkout, the versus %, gross, facility fee, net gross, every ticket tier (ticket price, never the net price), expenses, withholding, deposit and balance. It works even with AI turned off and doesn't count against the daily AI limit. ATOM only uses that read when the sheet's own math holds (gross minus facility fee, the ticket rows, your share minus withholding and deposit = the balance); otherwise, and for a photo of the sheet, it reads it the usual way. A Prism sheet that settles two acts together with no line per act also goes the usual way, so the split is never guessed. Upgrade rows with no ticket count ("AXS Premium", "Platinum") stay in the gross and are named in the notes. Attendance is the sheet's own Attendance line. Opendate sheets: not read by layout yet (ATOM hasn't seen a real one); they read the usual way.

DROPPING A SETTLEMENT PDF: ATOM reads every page with the AI. A long one (many ticket tiers) can take up to a minute; it keeps reading in the background until it's done. Pages that aren't the settlement (an ad pack, a bank receipt, contacts) are ignored. If the AI read ever fails, the review screen says so in red at the top: the numbers then come from a basic scan and are missing things like the gross and the guarantee, so Dismiss and drop it again rather than saving them.

MERCH: Merch stays out of a settlement unless you tick Include merch in this settlement. Dropping a merch settlement (atVenu, Bravado, a venue receipt) on the settlement's merch section now carries the sheet's own figures: what it says the artist is owed, the venue's cut and the adjusted gross. The sheet wins, so ATOM shows its number, not a recompute. With no cut stated in money, ATOM takes the venue's % off the sheet's adjusted gross (gross less sales tax less card fees), the way those sheets work it, and the breakdown line says so. A sheet's attendance stays out of the inventory count. If ATOM Merch has numbers for that night, the settlement says so when you open it; ticking the box pulls them in. Unticked, the merch lives in the Merch booth only and does not show in the settlement's Walk or its total.

DROPPING A SETTLEMENT DOC: drop the venue's settlement on Money > Import and ATOM reads it, then opens the review as a full screen: the document on the left, ATOM's numbers on the right to check and fix. If the show already has a settlement, the differences are flagged and you pick Update existing settlement or Add separate; Back or Dismiss throws the read away. A stray click or Escape never closes it. Phones get a note to review on a laptop. A sheet you filed from the phone stays in Settlement docs: on the laptop the settlement says the sheet is filed but its numbers aren't in yet, with Review ATOM's read (also on the sheet's row in Settlement docs). It opens the same full-screen review from the photo you already uploaded; nothing to re-drop. Applying the read clears it for good, flat deals too. Co-headline sheets are read for THIS tour's artist: the split, earnings and balance are your artist's, even when the other artist is listed first. If ATOM ever reads it from the other side, it corrects the split and says so in the review. The settlement wins on the deposit: once ATOM reads the sheet's money section, the sheet's deposit replaces the one from the deal memo, and a sheet that takes no deposit sets it to $0. ATOM also checks the read against the sheet's own math (your share minus withholding minus deposit = balance due) and fixes a deposit that was really the withholding line or the other artist's. The sheet's own balance due is kept on the settlement: if ATOM's walk ever comes to a different balance (a ticket row, a deduction or a deal term off), a red line at the top of the Walk shows both numbers and how far apart they are. Nothing shows when they match. Versus deals, before or after expenses: "85% after expenses" and "85% of gross" pay very differently. The import sets the deal's Vs % of to match the sheet, using the sheet's own math (its % line, or what it pays your artist), so an after-expenses deal is never walked against the whole gross.

MERCH WITH NO SHEET ON FILE: if the merch numbers were read off a sheet but the sheet's own artist cut and venue cut weren't saved, the merch Outstanding box says No sheet on file and what you received counts as the artist's merch (the payment is the truth, not ATOM's estimate off gross). It shows ATOM's estimate next to it. Drop the merch sheet in the Merch section to use its exact figures; the sheet is now kept in Settlement docs as Merch settlement.

ATOM worked out this merch payout: a merch settlement read from a sheet whose own figures (artist cut, venue cut, adjusted gross) were not kept shows ATOM's working; drop the sheet in again (Merch section) and the line goes away once the sheet's figures are on file.
