Shared across your tours

Pick what follows a person between your tours, bring crew onto a new tour, line up copies that disagree

Shared across your tours: every tour keeps its own copy of a person's card. This is how the same person stays in step across your tours, and how you set up a new tour without retyping the crew.

PICK WHAT TRAVELS: Contacts → Shared across tours (top of the page). Each kind of info has a switch. On by default (the basics): name, nickname and pronouns; photo; phone; company; travel preferences (home airport, airline, seat, bunk, travel notes); loyalty numbers (frequent flyer, hotel, truck stop); wardrobe sizes; rider wish list. Off by default (personal): dietary and allergies, emergency contact, home address, birth date and citizenship, passport and visas, TSA PreCheck and Global Entry, private medical notes. Switch any of them on or off, then Save changes.

WHAT IT DOES: edit a shared field on one tour and it updates on every one of your other tours that person is on. After you save a contact, the bottom bar says which tours were also updated. It never adds anyone to a tour.

NEVER SHARED: role and department, tour dates, pay and per diem, working this tour, labels, notes, travel party, bus company. Those describe someone on a particular tour.

BRING PEOPLE FROM ANOTHER TOUR: Tour Roster → + Add. Searching also finds people on your other tours (tagged Another tour); pick one and they come over with the shared fields. Typing their email straight in works too: if they're already in this tour's Contacts or on another of your tours, a note under the email box says so, and Use their card picks them the same way. Or open Bring people from another tour, choose the tour, tick people (Everyone working that tour ticks the touring crew), and bring them all. They join the way they were on that tour, working or contact only. Pay, notes and logins stay behind; give someone a login from their card.

COPIES THAT ALREADY DISAGREE: on the Shared across tours page, Line up existing copies → Show me what would change. You get a list per person: which field, which tour's copy wins, and whether it fills a blank or replaces something. The most recently edited copy wins, and a blank never replaces something filled in. Personal values are never shown in the list. Nothing changes until you press Line them up.

ON A CONTACT'S PAGE: the right-hand Across your tours card lists your other tours that person is on and what is shared.

ASK YO ATOM: "which tours is Christian on?" works too. It checks the current tour and your other tours (it can find someone who isn't on this tour at all). Only the account owner gets tour names; anyone else is told to ask the owner.

WHO CAN USE IT: only the account owner (the person whose account the tours live on). A co-manager invited onto one tour doesn't see it, so if that's you, ask the account owner. It only ever covers tours on the same account; another tour manager's tours never see your cards. A person's own My info page is how they share their details with other tour managers.
