Tour cards (Money > Settings > Cards & team > Tour cards) are the only cards ATOM treats as this tour's spend. Add each one with a name and its last 4 digits. It's saved for this tour on every device.
NO CARD, NO SCAN: the Gmail receipt scan (and the overnight scan) only runs once the tour has at least one card, and it only looks for charges on those cards.
A CHARGE ON ANOTHER CARD: ATOM never assumes. When a receipt shows a card that isn't a tour card (say a band member paid on their own card), or doesn't show a card at all, nothing is added. The receipt waits with three choices: It's a tour expense (you approve it), Reimburse them (type who paid; it goes to Reimbursements as pending), or Not ours.
CARD STATEMENTS: importing a statement asks which tour card it's for. A statement for any other card only imports if you pick "Another card: I approve these as tour expenses" and give its last 4.
TYPING AN EXPENSE YOURSELF: whatever card you enter by hand is your call; typing it is the approval.
LINKING A BANK (Plaid): optional. Link the card's bank (Money > Settings, Bank & Credit Card Sync) and a tour card with the same last 4 is linked; a connection that stopped working says so there.
CARD FEED: charges on a linked tour card come into Expenses by themselves, as card charges tagged to whoever carries the card (set Carried by on each card). Turn on Bring this tour's card charges in each day to have it run every morning, or tap Bring in card charges now (also on Expenses > Cards). The first run reaches back 30 days. Pending charges wait until they post; card payments and transfers are left out; money back from a store comes in as a refund. A charge already on the books (same day, amount and place) isn't added again, a near match comes in marked as a possible duplicate for the Cards tab, and a charge you delete never comes back. It uses the linked cards of the person who turned it on, and needs Money edit (ask your TM). Off until the TM turns it on.
WHO CAN CHANGE THEM: only the person holding this tour's money key (Money > Settings > Who edits money), the same rule as every money edit. That works for someone invited onto the tour too, not only the owner. Everyone else on the tour with Money access sees the list. A management or agency firm login has no tour of its own, so tour cards live on the artist's tour, not on the firm account.
