VIP / Meet & Greet

Selling VIP / Meet & Greet on a tour: the tour deal, each show's sales and venue fee, and the totals

VIP / Meet & Greet (call it whatever your tour calls it) lives in Money > Settlements > the VIP button, as its own full page. Two parts: a tour deal, and a VIP section in each show's settlement.

WHICH SHOWS: a deal covers a whole tour leg, or Pick dates: tap days on the calendar one at a time, or "First to last" to fill a range. Gaps are fine and the dates can cross legs. Days another deal already covers are shaded and can't be picked. If a whole-leg deal and a dated deal both reach a date, the dated one wins that show.

THE TOUR DEAL: "What you call it" (VIP, Meet & Greet, anything; every screen, settlement line and report uses that name). Who sells it: we do (your own camp) or a VIP company. Upgrade (the fan already has a ticket) or package (ticket included; enter only the VIP part of the price, the ticket part goes through the box office). Tiers, each with a price and a max per show. Package costs (deducted before the VIP split): per package (insurance, laminates), per show (a hired seller), % of sales (a platform), or flat (shipping). Venue Fee Rules: who ultimately pays venue fees (out of VIP gross before the split, the artist, or the company); the fees themselves are entered per show. Currency: each deal has its own; a payout in another currency takes a rate. Minimums (company deals): a minimum guaranteed to the artist, a company minimum fee. Tax: none, price includes it (we pay it over; at 20% that is one sixth), taken by the platform before payout, or added on top at checkout (shown, not VIP money); plus tax held back from the artist's share (e.g. UK 20%, Germany 15.825%) or waived. Check rates with your accountant. With a company: name, contact, company % and artist %, and who collects the money first. Attach the agreement and final statement on the deal.

RUN OF SHOW: on the deal, list the VIP steps timed from GA doors ("Use a standard run": check-in 90 min before doors for 30, VIP enters 60 before, VIP starts 45 before for 30, VIP ends and early merch 15 before). Each show's Tonight screen times them from that day's Doors row in the schedule and runs live timers on the venue's clock: "Next: VIP check-in in 42:10", then "Now: VIP check-in, ends in 12:03". No Doors in the day's schedule means no times. If the day has more than one doors row, the card names the one it times from and lets you choose. "Add VIP times to the day's schedule" writes the steps as rows everyone sees on the day page and day sheet (narrow with Who sees this); "Re-apply" replaces only those VIP rows.

TONIGHT: tap a show on the deal page (or Enter on tonight's row) for its own phone-sized screen with just the VIP numbers, saved into that show's settlement. No settlement yet? It offers to start a draft. You can also enter them in the settlement itself.

EACH SHOW: the same section sits in the show's settlement whenever a deal covers its date. VIP on this show / No / Cancelled, how many sold per tier (gross is worked out for you), refunds, and the venue VIP fees, one line each (venues often charge to hold a pre-doors or post-show VIP: security, bar staff...). Each line: pre-doors, post-show or other; its type (Security, Bar Staff, Staffing, Room, Lift Fee, Operations Fee, Other); flat or a % of that show's VIP sales; and how it was paid (taken off my settlement, invoiced, or split). Attach the check-in list and venue invoice under Settlement docs.

NEVER COUNTED TWICE: VIP sales are not collected at the venue, so they never add to the show-night settlement. Each venue fee taken off the settlement shows as its own line under Final Adjustments and comes off the balance due, and the tour totals read that same number. It is entered once.

TOUR TOTALS (on the deal page): one headline first (what it cleared, still owed to us, or owed to the company), then sold, gross, refunds, each cost, venue fees, then net. Sold by us: what you keep, no company share or balance. With a company: net to split, company share, artist share, paid so far and still owed (or the company's share you owe them, when you collected first). If the company's statement shows a different venue fee total, type it in and ATOM shows the difference; tick "Use the company's figure" to split on theirs. Anything nobody entered shows as a dash, never a made-up 0.

MONEY RECEIVED: record each payout (date, amount, currency, how it was paid) on the deal page with "Record payment". It is saved once as Other Income (Money Home counts it in income and collected). Only cash payments also count in road cash flow, so don't log VIP cash again in the Cash ledger.

PAID BY US: package costs you pay yourself (self-run, or when you collect first) each get "Send to budget", which adds one expense linked to the deal (Cash Flow and Master Budget actuals); if the cost changes it offers "Update to", and clicking "On budget" takes it back off. When you collect first, record each payment to the VIP company there too (a Commission expense); the breakdown shows the company's share, paid so far and still owed.

REPORT: "Download spreadsheet" on the deal page gives the venue fee list: date, city, venue, fee, fee type, notes, with a total.

WHO CAN USE IT: it follows Settlements. If you can open Money but not Settlements, your role on this tour doesn't include it; ask your TM. A management or agency firm account has no tour of its own, so VIP lives on the artist's login.
