Work grid: the payroll grid for your business manager

Export who worked which days (Show, Travel, Rehearsal, Tech) for any people and dates

Work grid (Money > Crew Pay > Work grid) builds the payroll grid a business manager sends you to fill out: names down the side, dates across, and a letter for each day worked: S Show, T Travel, R Rehearsal, TD Tech day (also TV, RAD Radio, PRO Promo, W Work, OTH Other). Off days are left blank.

PICK THE DATES AND PEOPLE: it opens on the pay period. Tap the Dates button for ATOM's calendar: two months side by side (full screen on a phone) with the tour's show and travel days dotted; tap the first day, then the last (either order). Quick picks on the side: Pay period, This month 1st–15th, This month 16th–end, This month, Last month. Remove people with the X, add them with Add a person to this grid, and drag each name by its grip (the dotted handle) into the same order as the business manager's sheet. A SEPARATE PAY PERIOD (tabs, like a workbook's sheets): + Add a separate pay period puts a second tab in the same grid with its own people, dates, pay date and submit by: say the payroll crew on 10/12-10/25 and the merch person on 10/16-10/31. Click a tab to switch; double-click (or the pencil) to rename; the X removes it. Save keeps every tab; Download spreadsheet makes one workbook with a sheet per tab; the copy buttons copy the tab on screen.

IT WORKS LIKE A FILE: the bar at the top shows the open grid's name and whether it is saved. Open lists every saved grid on the tour (with its dates and when it was saved) and deletes one; New starts a fresh grid on the pay period; Save (Cmd/Ctrl+S) keeps it; Save as makes a named copy (say one per pay period, WYR 10/12 - 10/25); click the name to rename it. A saved grid keeps its own people, order, dates, pay date, submit-by, day fixes and name spellings, so opening it brings back exactly what you saved. Nothing changes until you Save; leaving a grid with unsaved changes asks Save them or Don't save (and asks again before anything is lost). Undo (Cmd/Ctrl+Z) and Redo (Cmd/Ctrl+Shift+Z) work any time. Unsaved changes are also kept on this device as you work (like AutoRecover): if the tab closes, the browser goes Back or the computer restarts, the next visit shows Unsaved changes found with Restore them or Discard.

WHERE EACH DAY COMES FROM: first anything you changed on the work grid, then the Crew Pay day grid (including saved pay periods), then the day's Who's On together with the schedule: on that day's Who's On = that day's type (a show on the schedule = S, else the itinerary's Travel, a day off or home = blank). If a day has a Who's On list and the person is not on it, the day is blank and shows S? so you can check it. Days with no Who's On yet use the schedule and show faded. Outside a person's tour dates the day is blank.

FIXING DAYS (works like a spreadsheet): click a day, or drag across days to select a block (Shift+click or Shift+arrows extend it). Type a letter (S, T, R, TD...) or tap one in the bar above the grid to set every selected day; Delete or Off blanks them. Drag the small square at the selection's bottom-right corner down or across to copy it: one S dragged down nine people gives nine S; two days (S, T) dragged across repeats S, T, S, T. Copy a block with Cmd/Ctrl+C, and paste a block of letters (even straight from the business manager's sheet) with the top-left day selected. Cmd/Ctrl+Z or Undo takes back the last change; ATOM's answer puts ATOM's own day back on the selected days. On a phone: tap a day, tap a letter in the bar, and drag the corner square with your finger. all under a date sets that day for everyone. Your changes get a gold ring. Tap a name to spell it the way the business manager does (for example "Smith, Jordan (Drummer)"); names start as Last, First with a short role when the role is clear (TM, PM, SM, FOH, Mon, LD). Saved grids are kept for the tour on every device.

MAKE IT READ YOUR WAY: tap Customize letters and labels. Each kind of day (Show, Travel, Rehearsal, Tech Day, TV, Radio, Promo, Work, Other, Off) gets the letter it prints as (empty = a blank cell; give Off a letter like O if your sheet marks days off) and the name the key and the list use (say Bus day for Travel). The sheet's labels (Pay Date, Submit By, the names column heading and Payroll Notes) change there too. Saved for the tour; the spreadsheet, the copies and the screen all follow it. Back to the standard letters and labels undoes it.

GETTING IT OUT: Download spreadsheet (ATOM's look: the ATOM header, tiles for the period, pay date, submit by, people and show / travel day totals, a key of colored day chips, then the grid with dates across, weekends tinted, each worked day a colored letter, off days grey, each person's day counts and total on the right, how many worked each date along the bottom, a Payroll Notes box; names and dates stay frozen while you scroll). Copy letters to paste copies just the letters in row order: click the first day cell for the first person in the business manager's Google Sheet and paste. Copy with names includes the names column. Copy as a list gives "10/1 - Show" lines with a total, for an email.

WHO CAN USE IT: anyone who can see Crew Pay can view and export; saving lists, names and fixes needs Crew Pay edit (TM or org admin by default). It never changes anyone's pay: the Day grid does that.
